15 Feb How to Take a Stress-Free Holiday: Getting Your Accounts in Order Before You Hit the Beach
Let's be honest, when you're self-employed, the idea of a "stress-free holiday" can feel like a bit of a fantasy. You're lying on the beach, trying to relax with a cocktail in hand, and suddenly your brain kicks in: Did that client pay their invoice? Have I got enough in the account for that VAT bill? What if something urgent comes up?
Here's the thing: you absolutely can take a proper break without your phone glued to your hand, constantly checking your bank balance. It just takes a bit of prep work before you leave. And if you've got the right systems in place (hello, Xero) and a decent accountant watching your back, you can actually switch off and enjoy yourself.
So let's talk about how to get your accounts sorted before you disappear to the beach, the mountains, or wherever takes your fancy.
Why Self-Employed People Struggle to Switch Off
When you're running your own show, whether you're a sole trader or a limited company director, your business doesn't have an "out of office" function. Clients still need things, invoices still need paying, and money still needs managing.
For those of us working in the media and entertainment industry, it's even trickier. Projects can pop up out of nowhere, deadlines shift, and there's always that nagging feeling that if you're not available, you might miss out on the next big opportunity.
But here's what nobody tells you: constantly being "on" is a fast track to burnout. Your brain needs a break. Your creativity needs space. And ironically, taking proper time off often leads to better work when you get back.
The secret? Setting up your finances so they basically run themselves while you're away.

The Pre-Holiday Financial Checklist
Sort your invoicing before you leave
About two weeks before your holiday, take a proper look at your invoicing. Chase any outstanding payments that are overdue, people are much more likely to pay before you disappear than while you're away. Send out any invoices for work you've completed, even if they're not technically due yet.
If you're a limited company director juggling multiple clients, this is where having a proper system matters. Xero makes this dead simple, you can set up automated payment reminders that go out even when you're lounging by the pool. Your clients get a friendly nudge, you get paid, and you don't have to lift a finger.
Pay what needs paying
Go through your upcoming bills and handle anything that's due while you're away. Set up automated payments for recurring expenses, your software subscriptions, office rent, that Spotify account you use for editing music. Most banks let you schedule payments in advance, so use it.
For sole traders, this also means checking your tax account. If you've got a Self Assessment payment coming up or you're due to make a payment on account, get it sorted before you leave. The last thing you want is a penalty notice waiting for you when you get back.
Talk to your bank and credit card company
This one's especially important if you're heading abroad. Give your bank a heads up about where you're going and when. Modern fraud systems are clever, but they can also be overzealous, nothing ruins a holiday vibe quite like having your card declined at dinner because the bank thinks someone's stolen it.
Bring at least two cards with you. If one gets lost, stolen, or mysteriously stops working (it happens), you've got a backup. Write down the customer service numbers somewhere safe, not just stored on your phone.

Let Xero Do the Heavy Lifting
If you're still doing your bookkeeping with spreadsheets or, heaven forbid, shoebox full of receipts, this is your wake-up call. Being a proper Xero expert means we can set you up with automation that genuinely gives you peace of mind.
Bank feeds = real-time visibility
Xero connects directly to your bank account, which means every transaction is automatically pulled through. You can check your cash position from literally anywhere in the world. Quick glance at your phone while waiting for your flight? Done. Checking everything's okay while your partner's ordering another round? Sorted.
For limited company accountants like us, this is gold. We can keep an eye on your accounts while you're away, and if anything looks weird, we can give you a shout.
Receipt scanning
Remember those days of keeping every single paper receipt in your wallet until it turned into mush? Xero's got a mobile app that lets you snap a photo of any receipt and it automatically matches it to the transaction.
Even on holiday, if you buy something for the business (maybe you bump into a potential client and buy them lunch, or you pick up some equipment), you can photograph the receipt and forget about it. Everything's captured. No more "I'm sure I kept that receipt somewhere" moments when you get back.
Scheduled invoices and reminders
Set up your invoice reminders before you leave. Xero can automatically send gentle nudges to clients who haven't paid yet. It's professional, it's not pushy, and it means money keeps flowing into your account without you having to chase anyone.

How Having a Good Accountant Changes Everything
Here's where it gets really interesting. A lot of people think an accountant just does your tax return once a year. But if you're working with the right sole trader accountant or limited company accountant, they're actually acting as your part-time CFO, someone who keeps an eye on the financial side of your business so you don't have to.
We're watching your back
When our clients go on holiday, we're still here. We're checking that everything looks normal, that no weird payments have gone out, that clients are paying on time. If something urgent does come up, and honestly, it rarely does, we can handle it or let you know.
For media industry clients especially, where income can be irregular and project-based, having someone who understands your cashflow patterns is massive. We know when you normally get paid, what your typical expenses look like, and if something's off.
The "switch off" factor
The biggest benefit? You genuinely can switch off. You don't need to be logging into your banking app three times a day. You don't need to stress about whether you've forgotten something important. You can trust that someone's got it covered.
That's not just good for your mental health, it's good for your business. You come back refreshed, creative, and actually excited to get stuck in again.
The Week Before: Final Touches
Brief your clients
Let your regular clients know you're going away. Most people are absolutely fine with it, everyone deserves a holiday. Set up an out-of-office email that tells them when you're back and who to contact in a genuine emergency (that's usually us, by the way).
Emergency fund check
Make sure you've got a buffer in your business account. Not just for business emergencies, but also for personal ones. If your car breaks down while you're away, or you need to extend your trip for some reason, you want to know you can cover it without stress.
Download your banking app
Even with everything automated, it's worth having your banking app on your phone, just for peace of mind. Not so you can obsessively check it, but so that if you do need to verify something or move money around, you can do it in thirty seconds and then get back to your piña colada.

What About International Trips?
Heading somewhere exotic? A couple of extra things to think about:
Order some foreign currency from your bank before you leave, the exchange rates are usually better than what you'll get at the airport. But also research which ATMs are in-network at your destination, so you can withdraw cash without paying ridiculous fees.
Digital payment methods like Apple Pay or contactless cards are brilliant for security, but always have some physical cash as backup. Not everywhere accepts cards, especially smaller businesses or more remote locations.
And this is a big one: check your travel insurance actually covers what you need. Health coverage, trip cancellation, lost equipment (important if you're traveling with cameras or recording gear), make sure it's all sorted.
When You Get Back
First day back, resist the urge to immediately dive into work emails. Instead, do a quick financial review:
- Check your bank statements for any dodgy transactions
- Review which invoices got paid while you were away
- Thank any clients who settled their bills promptly
- Schedule a catch-up with your accountant (that's us) to go through anything that happened
If you've been taking photos of receipts on your phone, spend twenty minutes getting them properly logged in Xero. Future you will be grateful.

The Bigger Picture
Taking a stress-free holiday isn't really about the holiday itself, it's about building a business that doesn't completely rely on you being available 24/7. It's about having systems, automation, and trusted people (your accountant, your bookkeeper) who can keep things ticking over.
For sole traders and limited companies in the media industry, where feast-or-famine cycles are common and work can be unpredictable, this matters even more. You need to protect your mental health and creativity by actually taking breaks.
The irony is that the better your financial systems are, the less you have to think about them. Xero automation, regular bookkeeping, and having a proper accountant all reduce the mental load. And that means when you do take time off, you can actually enjoy it.
Ready to Take That Holiday?
If you're reading this and thinking "yeah, my accounts are definitely not sorted enough for me to relax on holiday," that's okay. That's what we're here for.
As Xero experts who specialize in media and entertainment businesses, we've helped loads of sole traders and limited companies set up systems that mean they can actually switch off. Whether you need someone to get your bookkeeping up to date, set up better automation, or just be that reliable person watching your finances while you're away: we've got you.
Give us a shout before you book that flight. Let's get your accounts sorted so you can actually enjoy your piña colada without checking your phone every five minutes.
You deserve a proper break. Your business will still be there when you get back( probably in better shape than when you left.)
