28 Mar CIS Refunds: Getting Your Hard-Earned Cash Back (Faster)
The clock is ticking on the tax year, and for many in construction, that means a payday is coming.
If you’re working in the trade: whether you’re a sparky, a chippy, a brickie, or a groundworker: you’ll know all about the Construction Industry Scheme (CIS). You’ll also know the frustration of seeing a chunky 20% (or worse, 30%) taken off your gross pay before it even hits your bank account.
As we approach the end of the tax year on April 5th, it’s time to stop thinking of that money as a "lost cause" and start thinking of it as what it actually is: an overpayment that belongs in your pocket. At Harrison’s Accountancy, we see hundreds of subcontractors who are owed thousands of pounds. The average refund usually sits somewhere between £1,000 and £6,000. That’s not small change; that’s a new van deposit, a family holiday, or a much-needed buffer for a quiet month.
Why HMRC Probably Owes You Money
If you’re a subcontractor, you’ve likely been overpaying tax all year without even realising it.
The CIS system is designed to make sure HMRC gets its cut of the construction industry’s tax bill upfront. By forcing contractors to deduct tax at source, the government ensures they aren't chasing thousands of individuals for unpaid tax at the end of the year. The problem? That 20% deduction is a "flat rate." It doesn't take into account your personal tax-free allowance (£12,570 for most people) or, more importantly, your business expenses.
When you work for yourself, you have costs. You have fuel for the van, tools that break and need replacing, public liability insurance, and maybe even a home office where you handle your quotes and invoices. Because the CIS deductions are taken from your turnover (your total income) rather than your profit (income minus expenses), you almost always end up paying too much tax throughout the year.

The Math Behind the Refund
Understanding the gap between CIS deductions and your actual tax bill is the key to your refund.
Let’s look at a quick example. Imagine you’ve earned £40,000 over the year. Under CIS, the contractors you work for have deducted 20%, which is £8,000, and sent it straight to HMRC.
However, let’s say you’ve got £10,000 worth of legitimate business expenses (materials, mileage, tools, etc.). Your actual taxable profit is only £30,000. Once you apply your personal allowance and calculate the actual tax and National Insurance due on that £30,000, your real tax bill might only be £5,000.
Since you’ve already "paid" £8,000 via CIS deductions, HMRC is sitting on £3,000 of your money. They won't just send it back automatically: you have to tell them exactly why you’re owed it through a Self-Assessment tax return.
Common Pitfalls That Delay Your Cash
Small mistakes in your paperwork can lead to massive delays in getting your money back.
HMRC is notoriously picky. If there’s a mismatch between what you claim and what the contractors have reported, your refund will be flagged for a manual check. This can turn a 2-week wait into a 6-month nightmare. Here are the most common traps we see:
- Missing CIS Statements: You need a statement from every contractor you’ve worked for during the year. If you’re missing even one, your figures won’t match HMRC’s records.
- Guessing Mileage: "About 100 miles a week" isn't an expense record. HMRC loves to challenge mileage claims. If you can’t prove it with a log or a fuel receipt, they can reject it.
- Non-Allowable Expenses: You can claim for your work boots, but you usually can’t claim for your everyday jeans. Claiming for things that aren't "wholly and exclusively" for business is a fast track to an enquiry.
- Incorrect Bank Details: It sounds simple, but you’d be surprised how many refunds are delayed because a sort code was typed in wrong.
- Wrong Tax Year: CIS follows the strict April 6th to April 5th calendar. If you include an invoice from April 10th in the wrong year's return, the whole thing will be rejected.

How to Get Your Refund Faster
Speeding up the process comes down to two things: timing and technology.
The absolute best way to get your cash back quickly is to file as soon as the tax year ends. You don't have to wait until the January 31st deadline. In fact, waiting until January is the worst thing you can do. By then, HMRC’s systems are jammed with millions of people filing at the last minute, and their staff are overwhelmed.
If you file in April or May, the "queue" is much shorter. Submitting your return digitally rather than via paper forms also shaves weeks off the processing time. Generally, a clean, digital submission can see money in your bank account within 1 to 4 weeks.
Another tip: ensure your bookkeeping is kept up to date throughout the year using software like Xero. If all your receipts are already scanned and your CIS statements are saved in one folder, you can hit "submit" on April 6th and be first in line for your payout.
Why an Expert Makes the Difference
Having a specialist handle your CIS claim ensures you get every penny you’re entitled to, stress-free.
You’re an expert at what you do: whether that’s plumbing, electrics, or roofing. You wouldn't expect an accountant to jump on a ladder and tile a roof, so why spend your evenings struggling with HMRC's confusing portals and tax codes?
At Harrison’s Accountancy, we live and breathe construction tax. We know exactly what you can and can't claim for. Often, we find expenses that subcontractors didn't even know were "allowable," which actually increases the size of their refund. We also handle the communication with HMRC. If they have a query or something gets stuck in their system, we're the ones on the phone chasing them up so you can stay on-site and keep earning.
Using a professional also acts as a safety net. If you make a mistake on your own return, HMRC can issue penalties or interest. When we handle it, you have the peace of mind that it’s done right the first time.

Don’t Leave Your Money with the Taxman
April 5th is the starting gun: be ready to claim what is yours.
The money deducted through the Construction Industry Scheme isn't a "fee" for working; it's a down payment on your tax. If you’ve worked hard all year, dealt with the British weather, and managed your own business, you deserve to have that overpayment back in your pocket.
We’re based right here in Biggleswade, and we love helping local tradespeople get their finances in order. Whether you’ve got a shoebox full of receipts or a neatly organised spreadsheet, we can take that off your hands and turn it into a tax refund.
Ready to get started? The sooner we get your paperwork, the sooner we can get that refund processed once the new tax year hits. Give us a shout or pop into the office for a chat. Let's make sure this year’s CIS refund is your biggest and fastest one yet.
